Setting up Email on your Mobile Device

Got your Office 365 email set up on your work computer, but haven’t got the faintest idea on how to do the same on that iPhone or Android device? Don’t worry, that rocket science degree won’t be needed.

Please note that there are other methods of setup, as well as other email applications, that you can use. In the interest of not writing a guide that is tantamount to a thesis, this will cover the more common and recommended ways to set up your Microsoft 365 email on your mobile device.

Note: this is specifically aimed at setting up a Microsoft 365 Email Account on an iOS/Android device, however following the guide will work with Exchange or outlook.com accounts, too.

Outlook for iOS

Note: If you have a work account that requires the Intune Company Portal app, install it from the App Store before setting up Outlook for iOS.

  1. Download the Outlook for iOS app from the App Store.
  2. When running the app for the first time, you’ll be prompted to enter your full email address. Do that, then tap Add Account.

    If you’re not prompted with this, open the Menu > tap Settings > Add Account > Add Email Account.
  3. Most email providers will be identified when you’ve entered the address correctly, but if you see a prompt to select your email provider, please contact your IT Support as there may be a problem with the configuration.
  4. A sign in screen will appear. Note that this may look slightly different to the example.
  5. If multi-factor verification is switched on, you’ll need to verify your identity.
  6. You may be prompted for permissions to be accepted. This is normal. You’ll need to accept them in order to complete the setup.
  7. You’re done.

iOS Mail (Default Email Client)

  1. Go to your iPhone or iPad’s Settings > scroll down and tap Accounts & Passwords > Add Account.
    Note: If you’re on iOS 10, go to Mail > Accounts > Add Account.
  2. Out of the list that comes up, select Exchange.
  3. Enter you email address and, if necessary, a description of your account. After that, tap Next.
  4. You should then be prompted to Sign in. Tap Sign In.
  5. Enter the password set up for your email account. Tap Sign in or Next.
  6. The Mail app may ask for certain permissions, so tap Accept.
  7. Choose the services you want to sync with your iOS device, then tap Save.
  8. You’re done.

Outlook for Android

Note: If you have a work account that requires the Intune Company Portal app, install it from the Google Play Store before setting up Outlook for Android.

  1. Install the Outlook for Android app from the Google Play Store. Once installed, open it.
  2. If this is the first time running/setting up the app, tap Get started.

    Otherwise, open the Menu > Settings > Add Account > Add Email Account. (Skip to step 4)
  3. Outlook may detect your Google accounts and request to add these. Allow Outlook access if you wish, otherwise tap Skip.
  4. Enter your full email address, then tap Continue.
  5. A sign in screen will appear. Note that this may look slightly different to the example.
  6. Enter your email account password, then tap Sign In or Next.
  7. If multi-factor verification is switched on, you’ll need to verify your identity.
  8. You may be prompted for permissions to be accepted. This is normal. You’ll need to accept them in order to complete the setup.
  9. You’re done

Built-in Android email app (Gmail App)

  1. Open the Gmail app. Be sure to have updated it to the latest version (through the Google Play Store app)
  2. Tap the menu icon in the upper left corner > Settings > Add account > Exchange and Microsoft 365.
  3. Type your full email address, then tap Next. Enter your password next, then tap Next.
  4. – For Outlook.com users, skip to step 5.
    – For exchange/other, you may need to contact your IT provider for server settings and support setting up your account manually.
    – Microsoft 365 work or school users, you may see a Redirect request screen. Tap OK.

    A new screen for Incoming server settings, change your server to outlook.office365.com.
  5. Follow any prompts regarding security or device permissions, sync settings, etc. For Microsoft 365 work or school accounts, you may be asked to confirm Remote security administration and approve additional security measures. If so, choose OK or Activate.
  6. Now open the inbox you just set up. If you see an email titled “Action Required to Sync Email,” open it and tap Use another Mail app instead.

    If you don’t see this email, and it looks like emails are syncing to the device, then you can obviously skip this step
  7. Swipe down from the top of your touch screen to pull the Android notification bar down. If you see a notification that says “Unable to sync calendar and contacts,” then tap it. Tap Allow to give access.
  8. You’re done!
